Job Description

Our client, a specialist in Property Management dedicated to adding value by offering a comprehensive holistic property management service is looking for a Portfolio Officer to join their team in East London.

Requirements:

  • Diploma or Degree in Management.
  • Paddocks UCT Sectional Title/ HOA Management Course (advantageous)
  • Registered with the PPRA, holding a valid FFC (Advantageous)
  • Three years' experience in managing Sectional Titles Schemes, HOA, and complex management.
  • Experience managing staff members.
  • Computer literate (MS Office Suite)
  • OHS knowledge.
  • Valid drivers license and own vehicle.

Responsibilities:

Operations

New Business

  • New Business: prepare marketing plans, pursue and submit management proposals, ensure take n of new properties under management.

Relationship and Property Management

  • Oversee effective administration of owner and trustee relationships.
  • Ensure efficient and effective administration and management of related processes.
  • Review monthly results and ensure accurate and regular reporting.
  • Ensure effective management of properties in line with relevant legislation.
  • Effective property management of complexes.

Report Writing

  • Review monthly business unit results and ensure accurate reporting.
  • Compile monthly revenue variance report.

Financial and Risk Management

  • Oversee municipal related processes, comparing budget.
  • Prepare budgets.

Staff Management

  • Oversee and manage staff and resource functions with regards to daily activities.
  • Ensure that the Portfolio Administrator and Facilities Coordinator conducts an analysis of processes carried out and feedback is received.
  • Carry out any other ad hoc duties.

Community Development

  • Manage Corporate Social Investment activities in line with OHHA's mainstreaming plans.

Financial

  • Ensure effective cost saving and waste management.
  • Assist with setting Annual Budgets and Quarterly forecasts.
  • Meet output requirements.
  • Ensure control and approval of expenses in accordance with the company approvals framework.

Human Resources

  • Act in accordance with the company's policies and procedures.
  • Promote diversity, equal opportunity and fair treatment in the workplace.

Quality Compliance

  • Comply with compliance outlined by Company procedures.
  • Ensure quality standards are maintained.
  • Complete all documentation timeously.

Safety, Health and Environmental

  • Carry out any duty or requirement imposed on the company by OHS Act.
  • Ensure direct reports adhere to OHS Act.
  • Report unsafe or unhealthy situations.
