The Branch administrator / Receptionist is tasked with providing a quality administrative support service through the completion of the following tasks.
- Presenting a professional image at all times.
- Greet and welcome guests upon arrival.
- Answer, screen and forward incoming phone calls.
- Ensure reception area is tidy and presentable.
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort and distribute daily mail/deliveries.
- Maintain office security by controlling access via the reception desk.
- Order front office supplies and keep inventory of stock.
- Control of petty cash.
- Keep updated records of office expenses and costs.
- Providing administrative assistance as required to consultants.
- Ensuring the professional layout, presentation, and accuracy of all typed documents.
- Maintenance of candidate databases as required.
- Maintenance of office equipment, furniture, etc.
- Compiling statistical information as required.
- Ensuring branch computer equipment is well maintained and serviced regularly.
- Maintenance of sales journal.
- Obtaining authorisation for payment of creditor invoices and forwarding to Head Office for payment.
- Ensuring coordination of activities with other service lines.
- Typing of candidate CV's.
- Establishing and maintaining control systems for:
- Candidate CV's.
- Stationery, office supplies, equipment, and promotional items.
- Reference checks required.
- Candidate interviews.
- Debtor credit checks.
- Receptionist/telephonist relief.
- Filing and record-keeping (manual and computerised).
- Ensuring all required candidate paperwork is completed accurately and forwarded to all the relevant parties in a timely manner.
Key Competencies
- Grade 12
- Strong administrative experience in a service industry
- Accurate word processing skills with above-average speeds
- Excellent communication skills
- Computer literate
- Presentable
- Financial administrative skills
- Zulu speaker
