Building Manager

Our client is seeking an experienced Building Manager for one of their student accomodations based in Johannesburg

Duties and Responsibility

RECORD KEEPING

  • Managing the maintenance book
  • Filling maintenance slips
  • File electricity slips and spreadsheet
  • File move in and move out inspection's forms
  • File monthly inspection and weekly cleaning inspection forms
  • File key forms
  • File incident Report
  • Assist in managing asset stock register spreadsheet
  • Electricity and water Meter reading
  • Take pictures send to property manager and record on the spreadsheet, to be conducted once a month

RENTAL COLLECTIONS

  • Assist in payment process
  • Assist in rent collection
  • Block non paying tenants on the biometric
  • Report tenants to be billed for damage or broken furniture

UTILITIES

  • Assisting in ensuring that occupants are provided with proper utilities.
  • Ensure that units are fully furniture before new occupant move in
  • Administer key to tenants and ensure that keys are kept in an orderly way
  • Distribute electricity
  • Register new tenants on the biometric for entrance and exist
  • Assist in resolving complaints, problems, and requests from tenants

Communication

  • Encourage tenants to use proper communication channels for their enquiries.
  • Tenant to report complain on the maintenance book for any furniture, transport, laundry, electricity, management related complain.
  • Send emails to WIFI directly to the service provider for WIFI related complains
  • Send Email to property manager for any lease agreement and vacating related issues.

MAINTENANCE

  • Reporting repairs to the property manager (e.g., changing globes, lock, plumbing etc.)
  • Conduct move-in and move-out inspection
  • Conduct monthly inspections
  • Conduct weekly cleaning spots checks
  • Inspect the building maintenance and safety on regular basis
  • Report on keys to be replaced
  • Liaise with property manager and property owner in relation to broken furniture replacement.
  • Assist in ensuring that the building is always representable
  • Conduct room inspections when tenants move in and out

RULES

  • Ensure that tenants adhere to the rules
  • Enforce property rules as well as university rules and regulation
  • Report tenants mis-conduct
  • Always maintain noise level in the building
  • Promote safe and conductive learning environment

SAFETY

  • Work hand in hand with security to ensure the safety of tenants
  • Assisting with emergency response and evacuations
  • Assist with emergency response and evacuation

ASSISTING

  • Keep inventory of cleaning material and report to Property administrator
  • Assist with preparation for res-life event onsite
  • Assist in asset recording
